How to Connect Xero?

Follow our step-by-step guide to seamlessly connect your Xero account with FF Inventory.

Looking to streamline your inventory management? Learn how to easily connect your Xero account with FF Inventory by following our comprehensive step-by-step guide. Discover how to map fields, sync data, and more.

Step 1: Select Apps from the navigation bar.

Step 2: Click on the Xero from the menu as shown below.

Step 3: Click on the button "Add Account +."

Step 4: You need to log into your Xero account & verify user credentials. Then click on the button "Allow access" so that the Xero account will connect to FF Inventory.

Step 5: Then your onboarding process will start. Just click on "OK" and do your settings.

Step 6: Fill in the following account information shown in the screenshot below to proceed. Below are the standardized settings ideal for most clients; if you have any concerns, feel free to contact us.


If you cannot set it up according to the above picture. Then go to your Xero account and check if the below account code is available. If not, then add it as per the below-shown picture.

Step 7: If you want a specific prefix to be added to your invoices, credit note, etc., you can specify that in the "Numbering Prefix" section.

Step 8: Now select the fields you want to be mapped/synced with Xero & FF Inventory.


You can map/sync Invoices, Bills, Credit Notes, Debit Notes, Returns, and many more. Kindly select as per your demand.

Note: If you enable the track Inventory button, when you do a purchase order and mark it as billed then only inventory will reflect in Xero.

Step 9: Your account is all set to go.

Note:

1. To update the Stock Quantity in Xero, creating Bills are mandatory.

2. The details such as Company Name, Customer Name, Customer Email, Customer Contact Number, Customer Shipping address, and Postal address are also synced with Xero. You can verify these details in the Invoices section of your Xero account.

IMPORTANT:

1. When you Enable the Track Inventory with Xero, Only products will get exported to Xero & not the Quantities. This is a Xero Policy. There are two ways to update the quantity from 0 to 'N' - one is to create a Purchase Order, and the other one is the Stock adjustment. Once the qty is updated, FF Inventory will keep it in sync.

2. You can disable the Sales order sync to your Xero account and sync only purchase orders as per your requirement.
