Performing a stocktake is a vital process in inventory management, ensuring that your physical stock matches your recorded inventory data. FF Inventory simplifies this process, allowing for an efficient and accurate stocktake. Here's how to conduct a stocktake in FF Inventory:

  1. Access Inventory Section: Begin by selecting "Manage Inventory" from the navigation bar and clicking on the "StockTakes" option. This area is specifically designed for conducting and managing stocktakes.


  2. Initiate New Stocktake: On the StockTakes page, click the "+ New Stock Take" button. This action will start the process of creating a new stocktake.


  3. Set Up Stocktake Details:

    • Post Date and Code: Choose your Post Date and add a unique Stock Take Code for identification and tracking purposes.

    • Add Notes: Optionally, you can add notes relevant to the stocktake. Once all details are entered, click "Next".


    • Select Warehouse: Choose the warehouse where the stocktake will be conducted and press "Next".


  4. Filter Inventory:

    • Choose Filters: Select the Supplier, Product Type, and Brand Name from the dropdown menus to filter the relevant inventory for the stocktake. Click "Next" to proceed.


    • Barcode Scanner Option: If using a barcode scanner, enable the scanner option. Note that filters will be disabled in scan mode. Click on "Next" to proceed.


  5. Update Inventory Quantities:

    • Inventory List: You will see a list of inventory with their current Quantity and Batch-Id.

    • Update Quantities: Enter the actual physical count in the "New Qty" column. The "Change" column will dynamically reflect the stock changes.

    • Proceed to Next Step: After updating the quantities, click "Next".

    • If you have enabled the Scan Barcode option, you can scan the product barcodes to add them.



  6. Review Stocktake Summary:

    • Cross-Check Numbers: The summary page will provide a detailed overview of the stocktake. Review the numbers carefully.


    • Finalize Stocktake: If everything is accurate, click the "Finalize" button to complete the stocktake.


  7. Complete Stocktake Listing:

    • Listing in Database: Once finalized, your stocktake will be successfully listed in FF Inventory’s database.


    • Review Anytime: You can access and review this stocktake record at any time for reference or auditing purposes.

Performing regular stocktakes is essential for maintaining accurate inventory records, identifying discrepancies, and ensuring efficient warehouse management. By following these steps, you can conduct thorough stocktakes in FF Inventory, contributing to the overall accuracy and effectiveness of your inventory management system.
